VOLUNTEER GUIDELINES 2022

Thank you for taking interest in helping out at Anime Crossroads! This page contains the general requirements and guidelines for becoming a volunteer staff member.

*****GENERAL REQUIREMENTS*****

  1. You must be at least 17 going on 18 years of age by the time of the convention. Anyone 16 years of age or younger cannot volunteer for Anime Crossroads (ACR).
  2. You must have a valid ID and emergency contact on file with the Head of Human Resources.
  3. You must attend the mandatory pre-convention staff meeting, which is scheduled 3 months before the convention. Contact and dates are all forwarded in emails from the Head of Volunteers through the main email.*
  4. You are required to attend the second pre-convention staff meeting held the day before the convention. No exceptions unless previously discussed with a Director of Anime Crossroads.*
  5. You are responsible for keeping in touch with the Director of the department you are assigned to. No follow up or missed responses may result in you being pulled from the accepted volunteer list.
  6. You must be able to work a total of either 8, 12,18, or 20 hours over the course of the convention.

NOTE: If you are an out-of-state volunteer, you are only exempt from Requirement #3. All other requirements and guidelines still apply. Please remember that you are responsible for your own accommodations and transportation during your stay at the convention.

*2022 Amended note: Due to the COVID-19 pandemic and limitations of room & board, there will be no in person and Thursday introduction meeting. Introduction and orientation will take place opening morning on Friday, February 25th, 2022 of the convention. All accepted volunteers will be notified and communicated with about all details and plans of action accordingly through the main volunteers email.

******VOLUNTEER GUIDELINES & BENEFITS****

MEETINGS

There will be two separate sets of meetings, one will be early on and the other will be closer to the convention date. Remember that you must attend two (2) staff meetings, one from each set. The date and times of these meetings will be announced beforehand so that you can plan accordingly. Also, all staff members are required to attend the pre-convention staff meeting held the day before the convention. If you are unable to attend a meeting, please notify the Staffing Director as soon as possible. You must be able to provide a legitimate reason for your absence.*

KEEP IN CONTACT

Please remember that it is your responsibility to keep in contact with the Staffing Director and the Director of the department you are assigned to. Please contact the appropriate personnel if there are any changes in your status or if you have any questions or concerns (i.e., unable to attend a meeting, changing contact information, etc.). Also, check your e-mail inbox and the Anime Crossroads forums frequently – information and updates will be sent and posted regularly.

RESPECT EVERYONE

Anime Crossroads does not tolerate disrespect to any person(s) at all. Please treat everyone with respect and courtesy and treat others how you wish to be treated. 

DRESS CODE

While there is no formal dress code, we do ask that you refrain from wearing attire that may be considered offensive or that could detract from your work performance. If you plan on cosplaying while working, please contact your department director to make sure your cosplay is deemed appropriate. Some departments may enforce their own dress code – please contact your department director for additional information.

BE PROMPT

All schedules are made in advance and we expect all staff to be available when assigned and ready to get to work. If you think you are going to be late, notify your department director as soon as possible.  Please arrive fifteen (15) minutes prior to the start of your shift for preparation of duties. 

BE HELPFUL AND FLEXIBLE

Always find out how you can be of additional help. There is always something to do, or some department that needs assistance. If you need something to do, and your department is covered, ask the Human Resources Director or respective Department Head about what you can do to help.

CHECK BADGES

As part of security measures being taken at the convention, please make sure to check attendee badges at all times. Badges MUST be visible at all times. If you find someone without a badge, please kindly direct them to the Registration desk.

VOLUNTEER LEVELS – TIERED BENEFIT

There are 4 tiers of volunteer level benefits that are based on how many hours you must accrue in order to receive compensation.

  • Tier 1 8 hours: minimum amount of logged hours needed in order to receive:
    • Financial reimbursement on badge purchase. 
  • Tier 2 – 12 hours: mid-amount of hours logged needed in order to receive:
    • Financial reimbursement on badge purchase 
    • Meals for each day of Anime crossroads:
      • 2 Meals for Friday
      • 3 Meals for Saturday
      • 2-3 Meals for Sunday
  • Tier 3 – 18 hours: second highest amount of hours logged needed in order to receive:
    • Financial reimbursement on badge purchase
    • Meals for each day of Anime Crossroads
      • 2 Meals for Friday
      • 3 Meals for Saturday
      • 2-3 Meals for Sunday
    • Room/ Board Compensation
      • Tier 3 includes a $50 flat financial compensation for room/board for your stay. You MUST stay at the convention hotel in the convention block to be compensated.
  • Tier 4 – 20 hours: the highest amount of hours logged needed in order to receive:
    • Financial compensation on badge
    • Meals for each day of Anime Crossroads
      • 2 Meals for Friday
      • 3 Meals for Saturday
      • 2-3 Meals for Sunday
    • Tier 4 includes room/ board accommodations. Friday and Saturday night only.
      • NOTE – you will be roomed with ACR volunteers and/ or staff members. 

DISMISSAL

If you are unable to fulfill your duties for any reason please let your department director or Staffing Director know as soon as possible. If you are not working as assigned, you can and will be dismissed. Your badge will be removed and you will be asked to leave or pay the appropriate fees for your remaining attendance.

ACR 2022 COVID-19 UPDATE:

Due to the SARS-COVID-2 pandemic that has swept the world, heightened sanitization methods, masks/face shields, and distancing policies are now required by all staff and attendees. As a volunteer, you are some of the 1st line of defense with basic disinfecting and general crowd control. To that end, listed below are additional roles and responsibilities of volunteers

  • Sanitize and Disinfect contact surfaces
  • Temperature checks
  • Capacity count 
  • Crowd rotation in adherence to distancing policies
  • Mask/face shield check
